School & Daycare Accounting

Running a school or daycare means your attention belongs to children, families, and staff, not to reconciling tuition payments at 9pm. But tuition revenue, payroll, and enrollment are tightly connected in ways that are easy to lose track of without the right accounting behind them.

More enrollment doesn’t automatically mean more profit

Adding a handful of children to a program raises tuition revenue, and it may also require another teacher or classroom aide. Whether that trade-off was worth it isn’t obvious from the enrollment number alone. Understanding the chain from enrollment to tuition revenue to staffing cost to actual operating profit is what turns “we grew” into “we grew profitably”, or tells you when it didn’t.

Tuition receivables need active tracking

Schools and daycares often collect recurring payments from dozens of families at once. Without a reliable process, it’s easy to lose track of who’s actually current and who’s behind. Knowing your outstanding balances in real time is what makes following up possible before a small gap becomes a real one.

Cost per child is worth knowing

A program with 75 children and $75,000 in monthly operating expenses is running at roughly $1,000 per child, not a figure that applies evenly to every child, but a useful number for evaluating whether tuition rates and staffing levels are actually aligned. Programs that track this tend to make more confident decisions about pricing and enrollment targets.

Payroll is usually your largest expense: treat it that way

Teachers, assistants, administrators, kitchen and maintenance staff, and substitutes all show up in payroll. Getting that recorded and reconciled properly matters not just for paying people correctly, but for understanding the true cost of running each classroom or program.

Budget vs. actual, monthly

A budget that’s built in January and never revisited isn’t doing much work. Comparing it against actual results month to month is what surfaces a payroll overrun, a tuition shortfall, or a facility cost increase early enough to respond to it, instead of discovering it at year-end.

Nonprofit schools have their own reporting needs

If your school or program operates as a nonprofit, restricted and unrestricted funds, grants, and donor reporting all need to be handled with that structure in mind. Your accounting should be built around what your board, donors, or grantors actually need to see.
